Bookkeeper

We are seeking an experienced, detail-oriented Bookkeeper to join our growing team as our dedicated in-house finance professional. This is a hands-on position that combines day-to-day bookkeeping with higher-level controller responsibilities in a dynamic creative environment. You will be responsible for the full financial lifecycle of the company, ensuring accuracy, compliance, and insightful reporting that supports our commitment to transparent budgeting—for both our internal operations and client-facing project financials.

On a daily basis this position will include:

- Manage all accounts payable (A/P) and accounts receivable (A/R), including vendor payments, subcontractor invoices, client progress billing, and collections.
- Perform full-cycle bookkeeping using BQE Core, BuilderTrend record transactions, reconcile bank and credit card statements, manage payroll (via ADP ), and maintain general ledger.
- Oversee project accounting for multiple concurrent design-build projects (percentage-of-completion tracking, cost-to-complete forecasts,  etc.).
- Prepare monthly, quarterly, and annual financial statements (P&L, balance sheet, cash flow) with variance analysis.
- Coordinate with external CFO/CPA for tax preparation, filings, and audits; ensure compliance with CA state contractor licensing financial requirements.
- Manage cash flow forecasting and treasury functions across two office locations.
- Administer employee benefits, 401(k), workers’ comp audits, and business insurance renewals.
- Develop and maintain internal financial controls, policies, and procedures as the company scales.
- Provide ad-hoc financial reporting and insights to Principals and Operations Manager to support strategic decisions (e.g., project profitability analysis, overhead allocation).
- Handle multi-state payroll and sales tax if projects expand beyond California.
- Secure and maintain business licenses as required by individual cities in which we do business
- Occasionally assist with client-facing budget presentations and transparency reporting.

The following is a short list of requirements:

MUST HAVE TECHNICAL SKILLS:

- Experience with construction software (e.g., Buildertrend) a strong plus.
- Experience in BQE Core and Quickbooks
- CPA, CMA, or bookkeeping certification.
- Familiarity with California contractor license financial reporting requirements.
- Prior work in a small-to-mid-sized creative or construction services firm.

MUST HAVE QUALITIES:

- 5+ years of progressive bookkeeping and controller experience, ideally in construction, design-build, architecture, or a related project-based industry.
- Strong proficiency in QuickBooks Desktop or Online (construction/accounting modules a plus).
- Deep understanding of job costing, WIP schedules, architectural phase billing, retainage, and CSLB construction-specific accounting requirements.
- Bachelor's degree in Accounting, Finance, or equivalent experience.
- Excellent knowledge of GAAP and financial reporting.
- Advanced Excel skills (pivot tables, VLOOKUPs, financial modeling).
- Impeccable attention to detail, organizational skills, and ability to manage deadlines in a fast-paced environment.

HOURS + PAY:

- Full time, 4 days per week, 9am to 6pm
