Construction Admin Assistant

The Construction Admin will play a critical role in supporting the Construction Project Manager and the Design Team to ensure the smooth execution of design-build projects. This position requires strong organizational skills, attention to detail, and the ability to coordinate between multiple stakeholders in a fast-paced environment. The Construction Admin will handle administrative tasks, documentation, and communication to facilitate project success from concept to completion.

Qualifications:

- Strong computer skills, proficiency in Google Suite, Microsoft Office suite
- Exceptional organization skills
- Strong communication and teamwork skills
- Ability to support others effectively with solid task management and follow-through
- Proficiency in written and spoken English
- Ability to read and understand construction drawing sets (architecture and structural)
- Reliable means of transportation

Roles and Responsibilities:

- Project Documentation: Prepare, organize, and maintain project documentation, including contracts, permits, submittals, RFIs (Requests for Information), change orders, and project schedules.
- Coordination Support: Act as a liaison between the Construction Project Manager, Design Team, subcontractors, and clients to ensure clear communication and timely delivery of information.
- Scheduling and Logistics: Assist in scheduling meetings, site visits, and project milestones. Coordinate material deliveries and track project timelines to support on-time completion.
- Budget and Cost Tracking: Support the Construction Project Manager in monitoring project budgets, processing invoices, and tracking expenses to ensure financial accuracy.
- Compliance and Reporting: Ensure all project documentation complies with local regulations, building codes, and firm standards. Prepare reports and updates for internal and external stakeholders.
- Design Team Support: Assist the Design Team by organizing design drawings, specifications, and revisions. Facilitate communication between designers and construction teams to align project goals.
- Administrative Tasks: Manage correspondence, maintain project files, and handle general office duties as needed to support the project team.

- Buildertrend experience
- Notion Experience
